Billing & Refund Policy
1. Scope
This policy applies to trials, subscriptions, upgrades, renewals, invoices, payment processing, cancellation and refunds for WeldInspect Pro. It forms part of the Terms of Service.
2. Trials
Trials are for evaluation and may be limited by time, users, features, reports, storage or support. Unless expressly stated, a trial does not guarantee continued free access after the trial period. Trial data may be deleted or restricted after expiry unless the customer upgrades or exports data before expiry.
3. Subscription fees
Subscription fees are charged according to the selected plan, billing cycle, number of users, modules, tenant configuration or written Order. Fees are due in advance unless agreed otherwise. Prices may be listed monthly, yearly or per user. Usage beyond included limits may require an upgrade or additional fees.
4. Payment processing
Payments may be processed by Mollie or another payment provider. Payment methods, settlement, failed payments, chargebacks, fraud checks and refunds may be subject to the payment provider's rules. The customer must provide accurate billing information and maintain a valid payment method where required.
5. Taxes
Prices are exclusive of VAT, sales tax, withholding tax, duties and similar charges unless clearly stated. The customer is responsible for taxes applicable to its purchase, except taxes on the provider's income. If reverse charge, VAT exemption or tax withholding applies, the customer must provide valid information before invoicing where possible.
6. Renewal
Unless an Order states otherwise, subscriptions renew automatically at the end of each billing period. The customer authorises recurring charges for the selected plan. The provider may issue invoices or payment requests before, on or after renewal.
7. Cancellation
The customer may cancel renewal according to the account settings, written Order or support process. Cancellation stops future renewal; it does not automatically refund the current billing period. Access may continue until the end of the paid period unless the account is terminated for breach.
8. Refunds
Unless mandatory law requires otherwise, paid subscription fees are non-refundable. The provider may issue refunds or credits at its discretion for duplicate payments, technical billing errors or exceptional circumstances. Refunds do not waive other rights and may be reduced by transaction costs, chargeback costs or taxes that cannot be recovered.
9. Failed payments and suspension
If payment fails or an invoice becomes overdue, the provider may notify the customer, retry payment, restrict exports, suspend access, downgrade the account, disable premium features or terminate the subscription. The customer remains responsible for outstanding fees and collection costs where permitted by law.
10. Plan changes
Upgrades may take effect immediately and may be charged pro rata or in full depending on the plan. Downgrades may take effect at the next renewal or after the current paid period. Downgrades may affect features, users, storage, reports or data access.
11. Price changes
The provider may change prices for future billing periods by reasonable notice through the website, app, invoice, email or account page. Continued use after the effective date means acceptance of the new price unless the customer cancels before renewal.
12. Chargebacks
Customers should contact support before initiating chargebacks. Unjustified chargebacks may result in suspension, recovery of chargeback fees and termination of access.
13. Enterprise and custom orders
Enterprise, annual, multi-tenant, reseller, implementation or professional service orders may include custom payment, cancellation, support and refund terms. If a written Order conflicts with this policy, the written Order controls for that conflict.
